Bluegrass Family Health (BFH) is a regional healthcare leader that was challenged with the collaboration of communication, coordination and information sharing.  BFH found themselves in the constant need for new processes and upgrading current processes within communications and project management, in an effort to try to keep ahead of the competition.  BFH selected Mediachase’s Instant Business Network for their ability to streamline processes and procedures within their day-to-day business.  

The Instant Business Network has become a cornerstone application in BFH’s day–to-day business by providing substantial, measurable and immediate impact to the organization.  The Instant Business Network has given BFH the ability to maximize limited resources and manage projects from start to finish.


The Challenges and Requirements
Business Challenge:
 
With the high level of competition facing the healthcare industry BFH took great care to identify all of the challenges they needed to address.  At the top of the list was their ability to manage communications and expectations between all departments and their ability to deliver on projects. 
BFH, like other healthcare industries, are tasked with doing more with less and they found it difficult to maximize their resources, since they were using the same resources on multiple projects.  In addition, although they did have a project management tool, they found it very difficult to use and it fell short of expectations. This situation left them without a dedicated project management infrastructure or methodology.  They also found that everyone was working independently and needed to find a way to unify everyone and every process.
Solution Requirements:

BFH research into a collaboration project management solution was lead by Carl Felix, Vice President for Process Management.  After reviewing and testing over 200 potential collaboration project management solutions, Felix had four simplistic but targeted goals:
  • Easy To Use: BFH was looking for a tool, that once the users were trained, they hoped a powerful transformation would take place.  According to Felix, they needed a tool that BFH had confidence in to ensure the team using the tool would be completely successful.
  • User Friendly: The tool had to be simplistic to non-technical staff to encourage them to utilize the tool, since a majority of the team using the tool would be non-technical people.  The system has to provide cues to the users to keep them on top of the tasks.
  • Easy To Deploy: According to Felix, it was important that they would find a solution, which could be fully deployed in a matter of days, rather than months.  In the competitive world of healthcare, BFH, felt it could not afford a long deployment or the fear of never being fully deployed.
  • Packaged “Toolbox” Solution: BFH requirements included a solution, which would allow them the ability to manage all of their collaboration needs from a single application.  They also required the ability to maintain documents & revisions, manage projects, communicate easily both laterally and vertically, and keep them alerted to tasks and deadlines.

The Solution - Mediachase “Instant Business Network”

Bluegrass Family Healthcare chose Mediachase Instant Business Network as their collaboration solution.  Currently all Executive Directors, Senior Management, key staff on the Director level and all of IT are using the Instant Business Network.  BGFH chose to deploy the Enterprise Server Edition, as it will allow them the ability to continue to grow, meet their requirements and integrate other business and proprietary applications.

Key Benefits Achieved

  1. Replacing Outdated Processes – The Instant Business Network has made a huge impact on updating less efficient legacy systems.  BFH has been able to use the Instant Business Network to replace their IT Request System, MS Project, Common Drive Library’s and tracks internal operational agendas and archives meeting minutes..
  2. Maximizing Human Capital Resources - BFH has had the ability to maximize their resources.  According to Felix, they have multiple people working on multiple projects at the same time and prior to the Instant Business Network, there some inefficient processes causing their people to not be as efficient as they could be.   Now the staff at BFH has a system that keeps them updated, on time and on track.
  3. Implementation & Training – According to Felix, BFH fully deployed the Instant Business Network within three days.  In addition, all users received training and were completely self sufficient from that point on with minimal assistance. 
  4. Better Access To Information – Beyond BFH’s ability to better communicate between departments, they also found that they no longer relied strictly on email or phone, as they are able to communicate with the Instant Business Network’s Instant Messaging.  This has allowed the team not only to instantly communicate without having to sort through endless emails or play phone tag but also instantly share documents and track issues to closure.  The Instant Business Network allows BFH the ability to better communicate both vertically and laterally.

Future Directions with IBN

According to Felix, he foresees the Instant Business Network becoming institutionalized in their business.  Felix says they always look at each process they are doing and ask if it can be done through the Instant Business Network.  Bluegrass Family Health regards the Instant Business Network as a benchmark and cornerstone application.  According to Felix, their biggest issue is always having enough licenses to manage operational activites .
